Skies No Limit · AI automation cost for trades
Most tradies who ask about automation want one number first: what will it cost? The honest answer on AI automation cost for trades is a range, and that range depends far less on the technology than on how many of your jobs, tools and people it has to touch. Here is how the price is built, what we charge, and how to tell whether it will pay for itself.
Two plumbing businesses can look identical from the outside and need very different builds. One runs everything through ServiceM8 and wants missed calls texted back. The other keeps quotes in spreadsheets, invoices in Xero and job notes in a group chat. The first is a small, contained job, while the second is a rebuild of how information moves around the business.
So if someone quotes you a firm price before asking how you work, be wary. Either the price is padded to cover the unknowns, or the unknowns will turn up later as extras.
Nearly every quote comes down to the same handful of factors:
Quotes around the market vary widely. Standalone missed call text-back services are advertised from around $50 a month. Published Australian pricing for built automations generally starts at $2,000 to $5,000 for simple workflows, and runs from $5,000 to $20,000 for custom integrations across multiple systems.
For reference, our own implementations run between $5,500 and $15,000 depending on scope. The lower end covers one or two core workflows done properly. The upper end is a business-wide system across several tools, with the team trained on it.
Before any build, the audit is where scope gets pinned down. The self-serve audit is free. The full report, with an implementation roadmap, is $197 and credited back in full if we build it for you. A Guided Audit is $500.
Price on its own tells you nothing. The useful question is what the automation replaces or recovers.
Start with admin hours. If you or an office manager spend eight hours a week on quoting, chasing invoices and re-entering job details, and half of that disappears, that is four hours a week back. At $60 an hour, that is $240 a week, or roughly $12,000 a year.
Then add recovered work: missed calls that now get a reply, quotes that go out the same day and invoices that get paid sooner. These are harder to predict, and for some businesses they are worth more than the time saved.
Automation is not always the right spend. If your jobs are few and large, your admin genuinely takes an hour a week, or your processes change every month, a build will struggle to pay back.
Likewise, if the underlying process is broken, automating it just produces the same mess faster. Sometimes the best first step costs nothing: agree how quotes are written, pick one place for job notes to live, and only then automate.
Is there an ongoing fee? Usually, yes. Subscriptions and usage fees for the tools involved continue after the build, and some providers add a support retainer on top. Ask for both figures up front.
How long until it pays for itself? In our client work, automation typically saves 10 to 15 hours of admin a week. At $60 to $80 an hour, a $5,500 build comes back like this:
| Hours saved a week | At $60 an hour | At $80 an hour |
|---|---|---|
| 10 hours | $600 a week, back in about 9 weeks | $800 a week, back in about 7 weeks |
| 15 hours | $900 a week, back in about 6 weeks | $1,200 a week, back in under 5 weeks |
Those saved hours only become money if they go into billable work or replace paid admin time, and the ongoing running costs push payback out a little. Run the same sums on your own week before you commit.
Can I start small? Yes. A single workflow is a sensible first project, because it tells you quickly whether a bigger build is worth it.
Do I need to be good with technology? No. A well-built system should feel like less work, not another app to learn.
Write down the three admin jobs you like least and roughly how many hours each takes a week, then multiply by what your time is worth. That number is your budget ceiling for automating them, and it is a better guide to AI automation cost for trades than any price list.
The free audit shows where your admin hours go and what automating them would be worth, before you spend a cent.
